How this calculator works

An invoice is a request for payment and a record of what you supplied. This generator takes the business and client details you enter, adds each quantity multiplied by its unit price, then applies the optional tax percentage to the subtotal. The live preview updates as you edit, and the PDF action creates a downloadable copy in your browser.

Before sending, replace every example value with accurate details: legal or trading names, contact information, a unique invoice number, issue date, due date, item descriptions, quantities, rates, and the amount due. If your jurisdiction requires a tax registration number, a particular tax label, or specific invoice language, include it in the notes and verify the requirement with an official source.

The tool does not store or transmit invoice data to a TaxKit server. The PDF is generated on your device. That is convenient, but it also means you should keep your own backup and use a separate accounting system for payment tracking, reminders, and retention.

What the results mean

The subtotal is the sum of all line-item amounts. Tax is a simple percentage of that subtotal, and the total is the amount displayed as due. A negative or zero quantity is not useful for ordinary billing; check each line before issuing the document. The due date is a reminder of your agreed payment terms, not an automatic collection action.

A good invoice makes it easy for a client to recognize the work, confirm the amount, and pay the right person. Specific descriptions such as a project milestone and date range are more helpful than an unexplained generic service line.

Common mistakes to avoid

Do not assume the optional percentage field determines whether tax is legally due or which rate applies. Confirm registration, exemptions, place-of-supply rules, and invoice requirements for the transaction.

Do not send an invoice with sample names, dates, line items, or payment terms still in place. Review the generated PDF itself before sharing it.

Do not treat the downloaded document as a receivables ledger or backup. Keep the issued invoice and payment status in a system you control.

Make the invoice easy to pay

Agree on scope, rates, currency, and payment timing before work begins. Include the payment methods you actually accept, and make sure your name and contact details match what the client expects. For recurring work, consistent numbering and a regular invoice schedule help both sides reconcile payments.

Keep a copy of every issued invoice and connect it to the related contract, delivery notes, and payment record. If a client disputes a line, a clear description and an audit trail are more useful than a beautifully styled document alone.

A clear invoice is part of a reliable client process

The invoice is one step in a larger workflow: confirm the work is complete, check the contract's billing milestone, review the recipient and amount, send the document through an agreed channel, and record the date sent. A consistent process reduces the chance of a correct invoice being overlooked and gives you a clear record if a client asks about it later.

Use descriptions that connect the charge to an agreed deliverable or time period. If the project has phases, name the phase and the relevant dates. For hourly work, record the quantity and rate accurately and retain the time detail separately. The invoice can summarize work without exposing internal notes or information that does not belong in a client-facing document.

Tax is especially sensitive to location and the type of service or product. A percentage field can perform arithmetic, but it cannot determine registration thresholds, place-of-supply rules, exemptions, reverse-charge treatment, or whether the amount should be labeled VAT, sales tax, or something else. Verify the rules and required wording before sending a tax invoice.

Before downloading, review the generated PDF at its actual size. Confirm names, invoice number, dates, currency, quantities, decimal places, and contact details. If your process requires a purchase order, tax number, remittance address, or payment reference, add it where appropriate and keep the final copy with your contract and delivery record.

Keep a payment status outside the PDF itself. Record when an invoice is issued, when payment arrives, and whether an adjustment or credit note was needed. This tool creates a document, not a receivables ledger, recurring billing system, or reminder service; a separate source of truth helps you see what is outstanding.

Frequently asked questions

Does TaxKit save my invoices?

No. Invoice details are used in your browser to render and download the PDF; TaxKit has no invoice account or server-side storage.

Can I add more line items?

Yes. Use the add and remove controls in the calculator to adjust the invoice to the work being billed.

Does the tax field calculate VAT or sales tax correctly?

It applies a flat percentage to the subtotal. Taxability, registration thresholds, exemptions, and invoice rules depend on your location and should be checked separately.

Can I change the invoice number?

Yes. Edit the invoice number before downloading. Keep numbering consistent in your own records.

Is the PDF legally compliant?

The generator creates a general invoice format, not a legal compliance determination. Required fields vary by jurisdiction and business type.

How we calculate this

Each line amount is quantity multiplied by unit rate. Invoice tax is the entered percentage of the subtotal. This general template does not determine legal invoice fields or tax obligations in your jurisdiction.
